Position Summary Information

Minimum Qualifications
Bachelor's degree in Finance, Accounting, Business Administration, or a related field; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

  • Minimum of two years of experience in financial management and budget administration, preferably in a state government or higher education setting.
  • Ability to perform complex financial record keeping with attention to administrative detail.
  • Strong analytical skills with the ability to interpret financial data and make informed decisions.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with diverse stakeholders.
  • Proficiency in financial software and Microsoft Office Suite, with advanced skills in Excel.
License/Certification Required
Preferred Qualifications
Bachelor's degree with a minimum of five years of experience in budgeting, forecasting, accounts payables and receivables or an equivalent combination of education and experience. This position must have a strong working knowledge and understanding of University operations, accounting for budget purposes, and knowledge in event coordination. Formal training in budget management is preferred.

  • Knowledge of University, State, and Federal financial regulations and compliance requirements.
  • Experience in enhancing and implementing financial practices which increase effectiveness and contributes to a culture of productivity and agility.
Essential Duties and Responsibilities
The Office of Conference & Event Services (CES) serves as a "One Stop Shop" planning and managing a wide variety of events and functions for minors and adults, including but not limited to University-sponsored and third-party community programs, camps, conferences, meetings, and special events. CES provides quality support services to faculty, staff, students, and guests involved in credit and non-credit educational and recreational programs. Our experienced professional staff work with campus departments to arrange for every programming detail coordinating housing, meals, registrations, contracted services, financial management, transportation, and facilities.

The Business Officer plays a pivotal role within the Office of Conference and Event Services (CES). The primary responsibility of this role is to administer and manage all departmental program budgets and reconciliations across a diverse range of funding sources. This includes overseeing financial duties for state appropriations, revenue, foundation contributions, and grant-awarded monies. The Business Officer will demonstrate proficiency in financial management, executing daily transactions, and providing strategic insight through budget projections based on historical data and anticipated needs. In addition to supporting our CES department, the Business Officer will assist with the financial duties of the University Post Office, Campus Services Express card office, and other departments within Campus Services as necessary.

Key Responsibilities of this position include:
  • Manage all financial affairs of the CES department, including the facilitation and management of resources from state appropriations, foundation funds, contracts and grants, and revenue generation.
  • Execute all aspects of budget management, ranging from daily transactions, monthly reconciliations, and creating financial reports and databases.
  • Process accurate journal entries submissions in a timely manner.
  • Provide expert advice and guidance to department directors on budgeting matters, ensuring adherence to budgetary constraints and financial regulations.
  • Reconcile all departmental P-Card transactions, ensuring accuracy and compliance with University policies.
  • Oversee the operation of the CES Touchnet store, including inventory management and financial transactions.
  • Maintain departmental procedural and policy manuals, ensuring alignment with University, state, and federal regulations.
  • Assist and work with University and State Auditors, ensuring compliance with auditing procedures and providing necessary documentation and support.
  • Manage all aspects of departmental travel and expense reimbursements, facilitating timely and accurate processing.
  • Manage and maintain departmental office equipment and inventory, ensuring operational efficiency.
  • Demonstrate a willingness to learn, flexibility, and the ability to prioritize tasks effectively in a dynamic environment.
  • Other financial duties as assigned, to support the University Post Office, Campus Services Express, and other departments within Campus Services as necessary. These duties may include budgeting, forecasting, reconciling, financial reports, etc.

Physical Demands of Position
Typical office environment. Position requires long periods of sitting in front of a computer screen and frequent typing. Occasional help in setting up for event, i.e. light lifting, moving chairs, tables, carrying boxes, etc.
